Job Description:

Jhpiego is an international non-profit health organization affiliated with The Johns Hopkins University, USA. For more than 40 years and in over 150 countries, Jhpiego has worked to prevent the needless deaths of women and their families. Jhpiego is dedicated to improving the health of women and families in developing countries.


Jhpiego is looking for Admin & Logistics Officers for KPK based project. The positions will be based in Charsadda, Swat, Lakki Marwat and Mohmand Agency. The responsibilities of these positions will be;


Responsibilities:



  • Responsible for the arrangements of trainings, events and related documentation with minimum support. 

  • Assistance with fixed asset, inventory management, disposal of fixed assets; provides necessary documentation for fixed assets and program material

  • To maintain records and documents related to distribution of assets, equipment/item(s) and medical supplies in files. 

  • Coordinate with main office for assets issuance to staff/stakeholders or donation to beneficiaries while keeping an updated record as per Jhpiego and donor rules, regulations and polices. 

  • Periodic and regular physical verification of assets by visiting field offices and facilities 

  • To provide logistics including, receiving of shipments to ensure both quality and quantity while tracking the shipment to destination. Coordination with procurement department to expedite purchase processes.

  • Liaise with finance department for documentation related to trainings, events and other financial matters

  • Daily mileage and vehicle log book record maintenance and verification

  • Handling of shipments to ensure availability of training material at the venue before the start of training

  • To develop and maintain good relationship with vendors

  • Preparation of activity budget, arrangement of transport and logistics before and after the trainings/workshops or events for his/her respective district 

  • Management of admin advance, petty cash and relevant documentation

  • Supervision of support staff including driver and janitorial staff


KNOWLEDGE, SKILLS, AND ABILITIES



  • Master’s Degree or equivalent in relevant field

  • 3 Years of experience in administration, event management and logistics/supply chain.  Candidates with financial background will be given preference

  • Ability to multitask and manage events/ workshops, trainings unattended or with minimum support from supervisor

  • To execute and finish assigned tasks within time frame with minimum support and guidance from supervisor

  • Excellent knowledge of MS Office and office management software, including Office 365
