A non for profit organization engaged in support of vulnerable communities through its programmes for Orphan kind, Thirst Relief, Emergency Response, Healthcare and Feed Our World in various areas all over the country. Organization requires services of “Admin Officer”, duties of that position could be as under but not limited to these:
1- Address day to day admin tasks;
2- Record keeping and maintenance of all organizational assets;
3- Assist Supervisor in preparing agreements between the suppliers/vendors and service providers;
4- Provide logistics support and services to staff and guests including boarding, lodging and travel arrangements timely and cost effectively;
5- Ensure maintenance of all organizational vehicles, log books, in time deposits of token/taxes, renewal of insurance and processing of insurance claims etc. Swift transfer/registration of new official vehicles from the concerned department;
6- Oversee issues pertinent to repairing of electrical, plumbing, carpentering, construction and other building systems;
7- Responsible for evaluating problematic building systems or facilitate and determining what installation or repair services need to be performed in all official buildings;
8- Coordinate with hired vendors/firms/contractors to ensure repair and maintenance projects are conducted smoothly and on time;
9- Prepare relevant incident reports for any accident occurs in official buildings;
10- Planning for admin tasks and to report irregularities, disorders and mismanagements to supervisor;
11- Assist Supervisor in event management including indoor and outdoor arrangements including workshops, meetings, conferences, recreational activities etc;
12- Liaison with Government departments on behalf of the organization;
13- Any other duty assigned by supervisor.
Skills & Knowledge:
i- Well versed with prevailing administrative practices and documentation.
ii- Adequate knowledge official protocols and controls are preferred.
iii- Knowledge and experience of overall office administration, security and day to day administrative operations is must.
iv- Knowledge and experience of overall office administration, security and day to day administrative operations is must.
v- Experience of management of multitasking and tight deadlines is required.
vi- Excellent written and communication skills in English are desirable.
Travel Requirement:
Job requires 30 % to 40% travel approximately to carry out assigned responsibilities within the coverage area (Sohawa, Muzaffarabad, Khanewal, Azad Kashmir-Chaksawari). Must be willing and able to travel.
Required Experience:
2 to 3 year experience in social sector preferably in INGO is required.
